How to Manage a Workflow

Learn how to manage, edit, and view people in your Workflow.

Overview

This article provides a comprehensive overview of managing your Workflows effectively:

  • Editing a Workflow: Learn how to modify your Workflow, whether it's adjusting delays, adding actions, or refining conditions.

  • Monitoring Workflow Activity: Discover how to track Contacts as they enter, progress through, and complete the Workflow.


Editing a Workflow

Before editing a Workflow, here are a few important notes:

  • If a Contact is already in a Workflow, only changes to steps they haven’t reached will affect them.

  • Enrolled Segments cannot be removed from a Workflow. You will need to set the Workflow to inactive, duplicate the Workflow from the Workflows page, and then select the new Workflow to continue.

To edit a Workflow, follow these steps:

  1. Navigate to Data + Automations > Workflows > All Workflows

  2. Locate and click on the name of the Workflow you want to edit

Change Workflow Name

Put your cursor in the name, delete it, and type the new name.

Reorder or Duplicate Workflow Steps

  • Reorder: Click on the double-sided arrow icon in the top left corner of the Step and drag and drop the step to the desired location.

  • Duplicate a Step: Click on the duplicate icon in the top right corner of the Step.

Edit Delays, Actions, Conditions

Click on any component of the Workflow you want to edit.

Starting and Stopping Workflows

Note: If you stop a Workflow, the already enrolled contacts will stop at the step they have reached. They will not be affected by any other actions as per the Workflow. Furthermore, no new Contacts will be added to the Workflow until it is restarted.

Navigate to the drop-down menu near the name of the Workflow that says Active or Inactive, depending on its current state. Set it to Active if you want it to run or Inactive if you want it to stop running.


Monitoring Workflow Activity

The View Tab

Navigating to View at the top of the Workflow will show you the overall activity for the Workflow.

  • Audience: Counts of the Contacts currently active in your Workflow and those who have exited.

  • Steps: At each step, the number of contacts who have entered and exited is listed.

The People Tab

Navigating to People at the top of the Workflow will show you a list of every Contact enrolled.

For each Contact, you will see the following information:

  • Name (linked to their record for easy and quick access)

  • Status (active or finished)

  • Date/time stamp of when they were added

  • The last step they were at

You can also take contact-specific actions on the People tab:

  • View the Contact's Record

  • Remove Workflow*

  • End Workflow*

*These two actions are covered step-by-step below.


Removing a Contact from a Workflow

Removing a Contact from a Workflow will prevent them from advancing to other steps. This action cannot be undone once you confirm the removal, but they can reenter the Workflow in the future.

To remove a Contact from a Workflow:

  1. Open the Workflow to edit it.

  2. Click the People tab at the top.

  3. Click the more icon (three vertical dots) at the end of the Contact's row.

  4. Select Remove Workflow.


Ending the Workflow for a Contact

They will not move forward in the Workflow. This action cannot be undone.

To end the Workflow for a Contact:

  1. Open the Workflow to edit it.

  2. Click the People tab at the top.

  3. Click the more icon (three vertical dots) at the end of the Contact's row.

  4. Select End Workflow.
