Once your LMS is integrated and course data is flowing into Element451, you’re equipped to do more than view student performance—you can act on it.

In this article, we share ideas on how your institution can turn academic insights into personalized support and impactful interventions across departments.


Getting Started: Key Fields That Power Student Success

Before jumping into use cases, it’s helpful to understand the fields that make course data so powerful within Element451. These fields are available for filtering and segmenting, making them foundational to building smart, automated student support. Once a student joins or leaves a segment, it can trigger a workflow of actions instantly—no manual work required.

pro tip Combine multiple fields in your segments. For example, segment students who have no LMS activity and no attendance in 5 days or more to identify high disengagement risk.


🚩 Early Alerts for At-Risk Students

Spot signs of academic struggle before they become roadblocks. Use course-related data like current grade, total absences, last attended date, last LMS activity date, and enrollment status to:

  • Automatically add students to an At-Risk segment

  • Trigger workflows that:

    • Assign a task for an academic advisor to follow up

    • Send the student a personalized message with tutoring links or resources

    • Include a booking link for scheduling an academic check-in or tutoring appointment via the Appointments module

Example: A student’s current grade in BIO101 falls below a C. They’re added to a segment that triggers a workflow to send a check-in email and provide a booking link for a tutoring session.


🎉 Celebrate Student Success

Academic data isn’t just for red flags—it’s for recognition. Use cases include:

  • Trigger a congratulatory email or SMS when a student completes a course

  • Send a push notification in StudentHub for passing midterms or earning an A

  • Assign a task to a coach or advisor to send a personal note

  • Recommend next steps, like scheduling a conversation with an advisor to explore advanced courses

Example: A student earns an A in their first college-level math class. A workflow sends a message from their advisor celebrating the milestone, with a link to book time to discuss honors or next-level courses.


📣 Trigger Evaluations, Surveys + Forms

Whether it’s gathering student feedback, identifying gaps, or nudging students toward next steps, you can use LMS data to trigger personalized outreach with the right form or survey at the right time.

Common Use Cases:

  • Course evaluations when a section is marked as completed

  • Graduation application prompts once students surpass a certain number of completed credit hours

  • Drop surveys when a student withdraws from a class

  • Interest forms or advising check-ins when a student enrolls in a specific course type (e.g., internship, research-based)

Example 1: When a course section’s status changes to completed, a push notification is sent with a link to the course evaluation form. The message appears in StudentHub and is also delivered via email.

Example 2: A student drops a course. A workflow sends them a short survey asking about their reason for withdrawal to help inform future interventions.

Example 3: A student reaches 90 completed credit hours. They’re added to a “Graduation Prep” segment that triggers a workflow to send a graduation application form and links to career counseling resources.

pro tip Want to encourage completion? You can follow up with a reminder if the form isn’t submitted within a set timeframe—add a delay and condition check in your workflow.


🤝 Multidepartment Coordination

Create workflows that span advising, athletics, and academic support.

  • Assign internal tasks based on course performance

  • Notify support staff of attendance concerns

  • Share updates with athletic coaches for student-athletes

Example: A student-athlete misses three class sessions in a week. A workflow alerts the student’s advisor and athletic coach to coordinate outreach.

Use enrollment data to power helpful nudges and reminders.

  • Remind students about registration deadlines

  • Suggest support resources based on their current courses

Example: A student drops below full-time status. A workflow sends them a message with financial aid implications and instructions to contact their advisor.
