Our system is fully controlled and governed by Element451—we do not expose raw model access directly to customers or end users.
When Element451 uses AI, those interactions occur within the same secure infrastructure that supports all other platform functionality.
How We Use AI Models
Element451 does not own, train, or self-host large language models.
Instead:
We use best-in-class, general-purpose LLMs from top model providers such as OpenAI and Google.
Models are accessed exclusively via secure APIs, not through locally hosted or embedded systems.
Each AI request includes only the data required to fulfill a specific task, provided as short-lived contextual input.
This means our AI features are powered by highly capable models without requiring schools to manage, deploy, or secure AI infrastructure themselves.
Data Sharing and Data Processing Responsibilities
When AI features are used:
Relevant data is shared with the LLM provider solely to complete the requested task.
Element451 has business and data processing agreements in place with its AI providers that:
Prohibit long-term storage of customer data
Prohibit use of that data to train or improve the provider’s models
Element451 acts as the data processor, and schools remain the data controller.
Importantly, Element451’s AI providers do not retain or reuse customer data beyond the immediate request lifecycle.
“Learning” vs. Contextual Use
Sometimes questions arise about whether Element451’s AI “learns” from conversations.
To clarify:
The underlying AI models do not learn or retrain themselves based on customer conversations.
We do not fine-tune models using customer data.
Data passed to AI models is used only as context for that specific interaction.
Separately, Element451’s platform does store structured data—such as contact records, engagement history, and outcomes—within our own database. This data is used to power CRM functionality, analytics, and workflows, not to retrain AI models.
While the underlying models do not learn from customer conversations, Element451 does continuously improve agent instructions and safety controls based on higher-ed-specific testing, QA findings, and implementation feedback. This improvement is applied at the configuration and governance layer (prompts, rubrics, policy rules, monitoring).

This visibility is a critical differentiator. Unlike other AI tools (such as public chatbots), AI conversations in Element451 are not isolated or invisible—they are part of a supervised, auditable system.
