Starting an Application on Behalf of a Student

Learn how to use the Start New Application button on the Applications profile card to begin an application for a student, even if they have never registered.

Overview

Sometimes your team needs to begin an application for a student rather than waiting for the student to do it themselves. Common examples include late additions, paper applicants, students who need hands-on help, and deferring a student to a future term while preserving their current application.

The Start New Application button on the Applications profile card lets you do exactly that. It logs you into your application site as the student so you can start a new application on their behalf, even if the student has never created an account or started an application before.


Before You Begin

You need the Login to Application permission to use this feature. This is the same permission that controls the Login as User option on existing applications. If you do not see the button, contact your Element451 administrator about your permission group.


Starting an Application for a Student

  1. Navigate to the contact's profile.

  2. Locate the Applications profile card.

  3. Click Start New Application in the card header. The button includes the student's name as subtext so it is always clear whose application you are starting. The button appears even when the student has no existing applications.

  4. If your school has more than one application site, a Select Application Site modal appears. Choose the site where the application should be started and click Continue.

  5. A new tab opens on the selected application site, logged in as the student. Click Start New Application to begin the application on their behalf.


Good to Know

  • No account required: If the student has never registered on the selected application site, the flow handles first-time access automatically. You do not need to create an account for them first or import application data.

  • Standard notifications still apply: If your school has an "application started" autoresponder configured, the student receives it exactly as if they had started the application themselves.

  • Reporting is preserved: Any existing applications continue to report normally alongside the newly started application. This is especially useful when deferring a student to a future term, since you keep reporting on both the current and the new application.

  • Working with existing applications: To access an application the student has already started, use the Login as User option on that application instead. See the Applications FAQ for details.
