The Deduplication Module will allow you to merge your potentially duplicate records.

The Deduplication Module

Element451 offers a robust Deduplication module that allows you to make sure that you're merging any potential duplicate records. 

Accessing the Deduplication Module

To access the module, click on the Contacts menu and migrate to the Deduplication menu item.

Once in, you will be presented with a list of your potential duplicate records and a series of actions you are able to take.

Above the list, a search bar allows you to search for specific student records.

To the far right of the search bar, a filter control allows you to show only unresolved duplicates, all duplicates or ignored suggestions. The filter is set to "unresolved" by default.

The left column of the list shows the suggested "Master" record. Learn how Element determines the master record, here.

The right column of the list shows the possible duplicate. Element has determined this duplicate shares similar attributes to the Master record, which makes it a candidate for merging. See how Element matches duplicate records, here.

To the far right of each row on the list, Element displays the following:

  • Match Percentage. This shows the percentage of duplicate criteria that were met, and can be used as a confidence score.

  • Status. The duplication status, either "unresolved" or "ignored".

  • "View" Eyeball Icon. This allows you to view a preview of the possible duplicate record.

  • "Merge" Person Icon. This will open the merge interface, show later in this article.

  • "Ignore" Icon. This will ignore the duplicate match and leave both records un-merged.

Merging Records in the Merge Interface

To begin merging a record, click on this "merge" person icon: 

This will open the merge interface, Here, you will select which data from each record you want to keep. Certain data points (like applications and user activity) can be merged rather than choosing one. Learn more about what kind of data must be overwritten or can be merged, here.

Preview both records by clicking the "View" eyeball icon next to each record.

Once you have selected the values you wish to keep, the minus icon in the bottom right will turn into the merge symbol. Click that button to merge your records. Merging records is permanent. Once you click merge, any data you choose to overwrite will be lost.


Merging Records in Bulk

Select multiple records to merge with a control/command+click or shift+click. Once multiple records are selected, you can mass merge or mass ignore.  

Warning🚨: When choosing to mass merge, the records on the left side will be the primary record when there are data discrepancies.
