Navigating Element451 is easier when you have a clear understanding of key terms and concepts. This glossary is designed to provide quick, concise definitions of the most important terminology used within our platform. Whether you're setting up campaigns, managing conversations, or leveraging AI-powered tools, this guide ensures you have the knowledge to make the most of Element451's capabilities.


A

  • Activity – A recorded interaction or engagement associated with a contact.

  • Activity Feed – A chronological log of interactions, actions, and engagements related to a contact.

  • Activity Types – Categories of activities that track different types of engagements.

  • AI Fraud Detection – A tool that uses AI to detect potential fraudulent applications.

  • Advanced Voice Mode – Enables Bolt AI Student Assistants to speak to students in a real, human-like voice through Messenger and in-app calling channels, enhancing AI-driven communication and support.

  • Anonymous Conversations – A setting that allows conversations from unidentified users to feed into the inbox, creating a new conversation. By default, messages from unknown SMS and email sources are not added to the inbox.

  • Appointments – A module that facilitates the scheduling and management of one-on-one meetings between internal users and contacts.

  • Appointment Booking URL – A unique, individual-specific link that directs users to their personal booking page, displaying their availability for scheduling appointments.

  • Appointment Site – The institution’s main appointment page where students can view all available users and their schedules, allowing them to book appointments with the appropriate staff.

  • Applications – A module for building custom applications, including admissions and scholarships, using configurable fields and data sources. Students create accounts, complete applications, and gain access to an Application Portal for tracking progress. Applications integrate with the Decisions module—when an application is submitted, it generates a decision where reviewers can evaluate, score, and release outcomes.

  • Application Site – The online portal where applicants complete, submit, and track their applications.

  • Authenticated Forms: A setting designed to enhance the security and efficiency of your forms by requiring contacts to verify their identity before accessing them.


B

  • Bolt AI Assistants for Students – AI-powered virtual assistants that provide students with instant, 24/7 support through live chat, SMS, email, and voice. They can answer questions, guide students through processes, connect them to resources, and escalate complex inquiries to staff when needed. With Advanced Voice Mode, they can also communicate in a natural, human-like voice via Messenger and in-app calling.

  • Bolt AI Assistant Teams – The deployment system for Student Assistants, determining where and when they appear. Activating an Assistant alone doesn’t make it accessible— it must be assigned to a team. Teams allow institutions to control Assistant visibility using condition filters such as Page URL, Path URL, UTM Parameters, and Conversation Channel, ensuring Assistants are available in the right context.

  • Bolt AI Assistants for Staff – AI-driven assistants designed to enhance efficiency for your team. They streamline administrative tasks, provide quick access to information, assist in managing inquiries, and help automate processes, freeing up staff to focus on high-value interactions.

  • BoltAI Writing Tools – A suite of AI-powered tools that assist with writing fundamentals like grammar, spelling, and text refinement (shortening or lengthening). Beyond basic editing, they help streamline communication by summarizing conversations into notes, drafting new conversations, and generating replies based on prompts and context, ensuring clear and efficient messaging.

  • Bolt Discovery – An AI-powered search tool that delivers instant, precise answers by pulling information from your institution’s knowledge base. It can be embedded within Element451 pages, integrated into your institution's website, or accessed via a custom URL. Bolt Discovery supports predefined queries upon launch, offers intelligent follow-up suggestions based on context, and enables natural language interactions, making information retrieval seamless and engaging.

  • Bolt Priority Index – A scoring metric indicating priority levels of student engagement.

  • Bolt UI – A design system standardizing the user interface with consistency, flexibility, and customizability.

  • Branding – Configurations that manage your institution's branding elements, such as colors, logos, and fonts, in General Settings.


C

  • Calculated Payment Type – The payment amount is calculated using a formula. This formula can utilize data from the person's record and/or fields on the submitted form.

  • Campaign Assistant – A specialized Bolt AI Staff Assistant that generates entire drip campaigns and their supporting workflows from a simple prompt. It helps staff streamline campaign creation by suggesting messaging, structuring sequences, and automating outreach, making it easier to engage prospective students effectively.

  • Campaigns – Bulk messaging broadcasts sent to segmented audiences via SMS, email, push notifications, or a combination of channels. Campaigns enable institutions to deliver timely, targeted communications for outreach, engagement, and conversion efforts.

  • Campuses – A data source that maintains campus locations, enabling students to specify which campus they are applying to or attending on forms and applications.

  • Calculated Segment – A dynamic grouping of contacts that automatically updates based on predefined criteria. Unlike regular segments, which remain static unless manually updated, calculated segments continuously add or remove student records as they meet or no longer match the specified conditions. This ensures real-time audience targeting without manual intervention.

  • Cohorts – A streamlined way to organize and manage application decisions in the Decisions module. Think of cohorts as “smart” folders that automatically categorize applications based on predefined conditions, such as applicant type (e.g., transfer, nursing). By grouping applications in a structured, dynamic way, cohorts make reviewing and managing decisions more efficient.

  • Conditional Logic – Rules applied to form fields for dynamic responses.

  • Conditional Payment Type The conditional payment type enables dynamic pricing through payment rules based on specific conditions, like user groups and event dates.

  • Connected Inbox – A feature that allows you to connect your individual or shared team email (Google or Outlook) to your Element451 Conversations inbox for centralized message management. With email forwarding, all prospective student inquiries—whether received via email or Element451 chat—flow into a single, unified inbox, enabling seamless communication and response management.

  • Contact – An individual record in Element451, also referred to as a person.

  • Contact Task: Tasks assigned to contacts that appear in StudentHub.

  • Content Moderation – A feature that helps maintain a safe and respectful environment by automatically flagging conversations containing potentially inappropriate, harmful, or manipulative content, including text and images. With customizable flags and actions, staff can efficiently review and manage flagged content, ensuring appropriate handling based on the context and severity of the message.

  • Conversations – One-to-one communication (live chat, SMS, email, and phone) threads between users and contacts.

  • Conversation Assignee – The single designated user responsible for managing a conversation. Assignees are not automatically added to conversations unless configured through Conversation Rules automation.

  • Conversation Thread – A continuous exchange of messages within a conversation.

  • Conversation Participant – Any user involved in a conversation. Multiple participants can be added, and the creator of a new conversation is automatically included as the first participant. Participants receive notifications as long as they remain in the conversation.

  • Conversation Rules – A powerful automation tool within Conversations that streamlines workflows by triggering actions when specific conditions are met. Users can configure rules to automatically assign conversations, add participants, apply tags, send replies, close conversations, and even run workflow rules. By defining criteria-based automations, Conversation Rules help ensure timely responses, efficient collaboration, and organized inbox management.

  • Conversation Starters – Pre-configured prompts that guide students or visitors in initiating a chat. These tailored suggestions help direct conversations based on context, such as displaying “What Can I Study?” on a program page to encourage students to inquire about available majors.

  • Criteria – A feature in the Decisions module for building customizable evaluation metrics, such as GPA, class rank, and essays. With configurable options and conditional logic, it ensures accurate student ranking, especially for selective programs. Criteria appear during the review process, allowing reviewers to input scores directly into the decision interface.

  • CTA (Call to Action) – A button or link prompting users to take an action.

  • Custom Conversation View – A personalized, saved view in the Conversations Inbox that allows users to filter and organize conversations based on specific criteria (filters).

  • Custom Permission Group – A user-defined permission set allowing role-based access.


D

  • Data Connectors – Integrations that allow you to pull data from and push data to external sources beyond standard file imports and exports. Supported connectors include SFTP, Google Drive, and Dropbox.

  • Data Fields – The building blocks of data collection in Element451. Used in Applications, Event Registrations, Appointments, Forms, and more, data fields capture student-submitted information and update their records accordingly.

  • Data Sources – The backbone of dropdown, radio, and checkbox fields in Element451. They manage the values in lookup fields used across forms, landing pages, applications, and more, ensuring consistency and accuracy in data selection.

  • Decision Board – Encapsulates your entire application review/evaluation process. It is organized into Stages, each represented by cards, and includes statuses and transitions.

  • Decision Permissions – Control access to the Decisions module beyond system-level permissions. Users must also configure specific permissions in Groups + Permissions within Decision settings to manage access to statuses, stages, stage transitions, and cohorts, ensuring precise control over decision workflows.

  • Decisions – The module for reviewing and processing application submissions, seamlessly integrating with the Applications module for a streamlined workflow. It enhances efficiency by automating routine tasks, reducing manual processing, and providing students with real-time updates on their application status.

  • Degrees – A data source that houses degree information, making it available for selection in applications, forms, and other records to track academic qualifications.

  • Deduplication Module – A tool for identifying and merging duplicate records.

  • Discount Code – A promotional code applied to fees or payments.

  • Document Types – Classifications for uploaded documents within the system.


E

  • Embed Code – A code snippet that adds the Messenger (Live Chat) widget to your website. It also installs the Element451 Tracking Pixel and enables Bolt Discovery functions for enhanced user interactions.

  • Event Landing Page – A designated webpage providing details about an event.

  • Event Notes – Recorded observations and details associated with an event.

  • Event Self-Check-in – A process allowing attendees to check in independently.

  • Events Site – The institution’s main event page where students can explore upcoming events, event series, and featured events. This serves as a centralized hub for event discovery and registration.

  • Event Series – A collection of related events under a shared theme.

  • Event Tokens – Variables used to personalize event communications.

  • Events – A module for managing and promoting campus events, from visit programs to open houses. It enables event publication, attendee registration, and automated communication, all within Element451, streamlining the event experience for both staff and students.

  • External Domain – A custom domain that enhances branding by masking the primary domain with a recognizable URL (e.g., yourschool.edu). To configure an external domain, you must add a CNAME record in your Domain Name Services (DNS) tool, pointing it to Element451, and then finalize the setup in your module settings.


F

  • Family Member – A data field that stores information collected through the Parent/Legal Guardian Field Grouping (user-family-root). Family Member data is displayed on a person’s profile by default and can be found on the Family Members card or under the Family Members tab in the “More Data” section.

  • Field Filtering – A dynamic feature that enhances data collection and the student experience by restricting field options based on previous responses. Used in applications, forms, and event registrations, this ensures students only see relevant choices. For example, if nursing applications are only accepted for the fall or high school students are limited to non-degree-seeking status, field filtering automatically adjusts the form in real-time, eliminating irrelevant options and improving accuracy.

  • Filters: Unique properties used to narrow down groups of contacts.

  • Fixed Payment Type – Set a constant amount every person must pay.

  • Forms – The Forms module allows institutions to gather inquiries, update records, and collect essential data. Common use cases include request-for-information (RFI) forms and student record updates. There are two form types—simple and prospect.

  • Funnel Stages – Defined steps within a student’s journey from prospect to enrollment.


I

  • Ice Breakers – Short text prompts displayed within the Messenger bubble before it is opened, encouraging students to engage. Ice Breakers can be customized by page conditions, such as displaying “Need help with your application?” on an application page to offer support proactively.

  • Import + Export – The process of transferring data into or out of the system.

  • Imgix – A powerful image management service that hosts and transforms images uploaded to Element451. By appending parameters to an image’s URL, Imgix enables real-time edits like cropping, resizing, color adjustments, and masking, ensuring optimized visuals for campaigns and other content.

  • In-App Calling – Native calling within Element451 with call analytics.

  • Index Files – Files used in document imports to associate metadata with uploaded documents. Commonly used by vendors that collect and share student credentials like transcripts, test scores, and diplomas, index files help organize and match documents to the correct student records within Element451.

  • Insights – Element451’s embedded suite of analytics dashboards and reporting tools, designed to help institutions track key metrics, identify trends, and make data-informed decisions.

  • Intelligent Automation – Workflows that streamline complex processes by executing actions based on conditions. (IA) enhances efficiency by automating application evaluations, advancing applications through stages, and handling routine tasks.

  • Intelligent Follow-Ups – Context-aware follow-up questions generated by Bolt Discovery at the end of its response. These suggestions help students dive deeper into a topic, encouraging further exploration and engagement based on their initial query.

  • Integration Code – A tool for creating additional mappings between Element451 and external data sources. Used in lead and applicant import tasks, as well as for mapping majors, terms, and degrees, integration codes ensure accurate data alignment across systems.

  • Integration Log – A tracking tool that provides transparency into managed integrations by logging successful data syncs and errors. It helps partners monitor performance, troubleshoot issues, and maintain seamless data flow between systems.

  • Internal User – How we refer to your staff members who access Element451.

  • Internal User Acknowledgement – A customizable message displayed to internal users before logging into Element451. Ideal for presenting compliance notices, policies, or institution-specific terms that must be acknowledged before accessing the system.


J

  • Journeys – A tool for tracking and visualizing sequential interactions, allowing institutions to monitor and manage custom enrollment funnels, track inquiries, and follow admitted students as they progress toward enrollment.

  • Journey Trigger – An activity that automatically enrolls a person in a Journey. A Journey can have one or multiple triggers, and if multiple are configured, enrollment begins when any trigger condition is met. Triggers are based on various activities within Element451.

  • Journey Step – The individual actions a contact must complete to progress through a Journey. Steps can include optional conditions (such as application submission or event registration) and actions that execute upon step completion.

  • Journey Exit Trigger – A condition that, when met, updates a contact’s status to “exited” within a Journey, preventing further progress. This ensures accurate analytics by reflecting only those still actively moving through the Journey.


K

  • Knowledge Base – A centralized repository of articles, FAQs, and support documentation consisting of both private and public repositories. It serves as the foundation for BoltAI, powering features like Bolt Discovery and Bolt AI Assistants by providing accurate, context-aware responses based on institutional knowledge.

  • Knowledge Base Source – The data and content added to the Knowledge Base, including websites, URLs, documents, text, and custom answers. These sources provide the information that powers BoltAI features, ensuring accurate and relevant responses.


L

  • Labels – Tags used to categorize people or segments for easy sorting, quick identification, and delivering customized content across communications, sites, and pages.

  • Live Support Seat – Element451 provides comprehensive support via a live chat widget integrated into your instance. Each institution has a limited number of live support seats to assign to internal users, giving them access to this assistance.

  • Locker ID Dialogue – A setting that prompts users to manually enter a Magic Link alphanumeric code (rather than a URL) to unlock pre-populated form data. This is useful for direct mail campaigns or printed materials where users receive a code to access their personalized form.

  • Login Page (Microsite) – The entry point for accessing a microsite.


M

  • Magic Links – Unique, short-term alphanumeric identifiers generated by login tokens that seamlessly link students to their existing records. By bypassing the authentication process, Magic Links eliminate the need for login credentials, saving time and reducing friction. They can also pre-fill known information on forms, enhancing the user experience—especially when students transition between their inbox and your site.

  • Mapping – The process of aligning imported data with system fields.

  • Majors – A data source that manages fields of study, ensuring students can select their intended major when completing applications, RFI forms, and other processes.

  • Media Manager – A centralized tool in Element451 for uploading, organizing, and managing media files, including images and documents. It enables seamless access to media for use in Campaigns, Pages, and other content, ensuring efficient asset management.

  • Microsites – Highly personalized web pages designed to deliver tailored experiences for different student populations. Used during the admit phase, as a log-in is required, Microsites provide dynamic, student-specific content that enhances engagement and personalization.

  • Milestones – Key events in a student’s journey through the admission funnel, marking significant moments of engagement with your institution. From profile creation to enrollment, each milestone captures progress and interactions, helping track and manage a student’s path effectively.


N

  • Network – A feature in Element451 that connects students to their personalized support team, including staff and faculty. Accessible through StudentHub, the Network provides students with comprehensive contact details, direct communication options, and appointment management, ensuring seamless engagement with their academic support team.

  • Note Types – Categories of notes recorded within the platform.


O

  • Operators: Used to combine filters when creating segments (e.g., AND, OR).


P

  • Packs – Pre-built, ready-to-use campaigns, automations, and tools created by the Element451 team and informed by machine learning. Designed to streamline repetitive tasks and support the full student journey, Packs combine campaigns, segments, workflows, and best practices into a seamless, automated experience. With just a few clicks, institutions can launch targeted, personalized campaigns integrated directly into Element451—offering an out-of-the-box solution unmatched by other CRMs.

  • Payments – Transactions processed within the platform.

  • Payment Rules – Customize how payments are applied to applications, deposits, events, or forms, ensuring each person is charged appropriately based on specific criteria or conditions. These rules can adjust the payment amount, enable discounts, and more once certain conditions—such as applicant type or registration date have been met.

  • Post-Admit Checklist Item – Tasks or requirements after a student is admitted.

  • Preferred Start Page – Your selected start page in Element451. Instead of the default start page, you can choose to be redirected to the specific module that you use the most.

  • Preferred Time to Send – A setting in the Send Communication action of a Workflow or Rule that sends the Campaign when the contact is most likely to open it based on previous activity.

  • Primary Domain – The default domain provided by Element451 for your public-facing pages and sites. It cannot be edited and typically follows a format like fireuniversity-2155.page451.sites.451.io. Primary domains are not indexed by search engines, preventing them from appearing in search results. Due to this limitation, ad providers like Google Ads may restrict directing ads to these URLs.

  • Primary Team – The default assigned team for an internal user.

  • Private Conversation – A setting that makes conversations accessible only to the author, participants, and assignees (including Teams).

  • Private Contact Notes – A setting that makes contact notes only visible to the author and selected users.

  • Prospect Form – A form type designed to function as a request-for-information (RFI) form. When submitted, it automatically creates a prospect milestone, tracking student engagement and interest.

  • Push Notifications – Real-time messages sent via Campaigns to deliver updates, task reminders, and important information directly to students through StudentHub. Designed to keep students informed and engaged, push notifications provide timely alerts on critical campus updates and personal academic milestones.


R

  • ReCAPTCHA – A security measure for verifying human users.

  • Relationship – A connection between a student’s record and another individual’s record, such as a family member. Relationships are created when individual family records are added and can be viewed on both profiles in the Relationships card or the Relationships tab under “More Data.”

  • Reference Data Source – A predefined data source that maps back to existing categories such as Majors, Terms, or Campuses. These sources dynamically filter data based on specific properties within those categories, ensuring consistency and accuracy across forms and applications.

  • Regular Data Source – Also known as a custom data source, this allows you to create a new data source from scratch, defining values based on your institution’s specific needs.

  • Reviewer – An internal user responsible for evaluating and scoring application decisions within the Decisions module. Reviewers assess applicant criteria, provide ratings, and contribute to the final admission outcome.

  • Rule – Sequence of automated steps designed to manage and execute complex tasks. Once initiated, a Rule promptly and sequentially executes a series of predefined actions based on set conditions.


S

  • Saved Replies – A tool that lets your team configure and save pre-written responses for quick access during conversations. Saved Replies support basic tokens, such as the participant’s name, to personalize responses and improve efficiently handling frequently asked questions.

  • Segments – Groups of contacts organized based on shared characteristics using filters such as enrollment status, application stage, or engagement activity. Unlike Calculated Segments, segments remain static and must be manually updated to reflect changes in contact data.

  • Sender Domain Authentication: In settings, add domains for sending emails from Element451.

  • Sender Email Addresses – In settings, manage the email addresses used as the "send from" address in Campaigns.

  • Schools – A data source that organizes academic divisions (e.g., School of Business, School of Engineering), making them available for selection in applications and forms.

  • Simple Form – A streamlined form type that collects information without generating a prospect milestone. Ideal for scenarios where lead tracking is unnecessary, such as internal updates or specific data collection needs.

  • Snowflake – The cloud-based data platform used by Element451 to store, model, and analyze data, powering Insights dashboards. Institutions that also use Snowflake can use Data Sharing, enabling secure, real-time access to their Element451 data without the need for manual exports, improving reporting, analysis, and decision-making.

  • SSO (Single Sign-On) – A secure authentication method that allows users to access Element451 with a single set of credentials. Element451 supports SSO for both internal users (staff and administrators) and external users (students and applicants), streamlining access while enhancing security and user experience.

  • Start Page – The Start page (https://yourschool.element451.io/v2/start) is where you land upon signing into Element451 when a preferred start page has not been set. Think of it as your Element451 home page.

  • StudentHub – Your students' AI-powered, mobile-first companion with engagement and success at its core. Seamlessly integrated with Element451, it centralizes all they need—appointments, tasks, events, and their support network—into one unified experience.

  • Surveys – A module that collects feedback from Contacts, allowing institutions to gather insights from students, applicants, and other audiences to improve engagement, services, and decision-making.


T

  • Tasks – A to-do management module for assigning and managing to-dos.

  • Internal Task – Tasks assigned to internal users.

  • Task Note Notes added to tasks after they've been created.

  • Task Subscriber – Users who receive updates on specific tasks.

  • Task Mode – A persistent ribbon in Element451 that keeps your most urgent tasks visible as you navigate the platform. Accessible with one click from the Tasks icon, Task Mode ensures seamless task management without disrupting your workflow.

  • Task Template – Pre-defined settings for creating tasks.

  • Task Status – Categories that align with your workflow.

  • Task Priority – Levels to manage workload effectively.

  • Task Queue: Group tasks together for team management.

  • Teams – Groups of users that facilitate collaboration across departments.

  • Terms – A data source that stores academic terms (e.g., Fall 2024, Spring 2025), allowing students to select their intended enrollment period in applications and forms.

  • Territory – A categorization for assigning people based on geographic region. Dynamic territories allow configuration of filters and assignment in one location.

  • Tracking Pixel – A snippet of code that tracks student interactions, such as page views and link clicks, on your institution’s website. This data appears in student records and can be used for segmentation and targeted outreach. The tracking pixel can be added directly to each page, implemented via Google Tag Manager (GTM), or integrated through other tag management software.

  • Thread Starter – A predefined query that initiates a new conversation in Bolt Discovery, guiding students directly to relevant information. Designed as a shortcut, Thread Starters help streamline searches, saving students time and effort by connecting them with the answers they need instantly.

  • Tokens – Dynamic placeholders in Element451 that personalize campaign content by pulling data from contact records. When a message is sent, tokens are automatically replaced with relevant details, such as a student’s intended major or first name, ensuring each recipient receives a customized experience.

  • Traits – Dynamic attributes calculated from the data within a Person record, designed to facilitate student segmentation and progress tracking. These attributes are essential for creating targeted Campaigns, Workflows, and internal Tasks.

  • Triggers – Events or actions that initiate workflows or rules.


U-Z

  • Unknown Messenger Participants – External visitors who start a chat in Messenger but are not yet identified in Element451. They remain listed as unknown until they provide identifying details and the conversation is associated with a contact record.

  • User-Defined Payment Type – Allows purchasers to input a custom amount within a specified range. This type is ideal for donations or other use cases where the purchaser should determine the amount to pay.

  • Validation – A process ensuring data integrity and accuracy.

  • Visibility Group – Visibility Groups allow you to manage access to contact records (including a contact's conversations) at a granular level. You can create up to two levels of subgroups to define what records are accessible to different team members.

  • Voice Messages – A feature in Messenger that allows users to send and receive voice-recorded messages, enabling more natural and flexible communication with students and other contacts.

  • Webhook – A method for real-time data transmission between applications.

  • Workflow – Dynamic process comprising a sequence of automated steps designed to manage and execute complex tasks with a high degree of precision, particularly in the context of student engagement and communication.

  • Workflow Audience – Individual contacts or segments added manually to a Workflow.

  • Workflow Action – The specific activities or operations that occur at a particular step in a Workflow or Rule. A step can contain multiple Actions. Actions include things like assigning a label or sending a communication.

  • Workflow Delay – A feature exclusive to Workflows, a delay controls when a step happens. This setting is particularly beneficial in structuring communication strategies.

  • Workflow Condition – Criteria that provide control over the execution of actions within a step based on specific requirements.

  • Workflow Step – The building blocks of Workflows and Rules, representing a sequence through which students or users progress.

  • Workflow Trigger – The event or action that enrolls a contact in a Workflow or Rule when certain conditions are met. Triggers often involve actions taken by contacts, such as starting or completing an application, registering for an event, or entering a specific segment.

  • Zapier – An integration tool for automating workflows between applications.
