Student Success Dashboard

Overview

The Student Success dashboard provides a comprehensive view of student enrollment, course performance, key academic metrics, and Case Management activity. Use this dashboard to monitor enrollment trends across terms, evaluate course-level performance statistics, identify at-risk student populations through attendance and grade data, and track Alerts and Cases as they move through triage, escalation, and resolution. This dashboard is ideal for academic affairs, advising, student success, and case management teams seeking data-driven insights into how students are engaging with their coursework and where early intervention may be needed.

This dashboard focuses on student-level activity — volume, priority, and the alert-to-case escalation funnel. For staff-level Case Management metrics (who is assigned what, resolution rates, and on-time performance), see the Management Dashboard.

Accessing the Dashboard

The Student Success dashboard can be found via the Insights sub-menu. The Insights module can be accessed from the Data + Automations dropdown in the top navigation.


Dashboard Features

The Student Success dashboard provides enrollment metrics, student performance data, course-level analytics, and Case Management reporting across five tabs. Explore student enrollment trends by term and dimension, review course statistics, spot at-risk patterns through absence rates and grade trends, monitor Alerts and Cases activity, and analyze how Alerts escalate into Cases over time.

Controls

Each tab has its own set of controls located at the top of the page. The Students and Courses tabs share a common set of enrollment-focused controls, while the Alerts, Cases, and Escalation Funnel tabs each expose controls specific to Case Management. Controls applied on one tab do not carry over to other tabs—each tab is filtered independently. The controls available on each tab are listed within the tab sections below.


Tabs

The Student Success Dashboard is organized by five tabs:

  • Students — student-centric enrollment and academic performance data

  • Courses — course-centric enrollment, capacity, and performance data

  • AlertsCase Management Alerts activity, triage, and resolution

  • Cases — Case Management Cases activity, prioritization, and resolution

  • Escalation Funnel — how Alerts escalate into Cases and the rate of escalation over time

Visualization Sections:

Students

The Students section is located at the top of the page. It provides key enrollment metrics and charts to explore enrollment trends across terms and student dimensions.

Features

  • Count of students enrolled this term

  • Students enrolled in courses

  • Enrollment records per student

  • Courses per student enrolled in courses

  • Cumulative Enrollments by Term

    • A horizontal bar chart showing the total number of enrollments for each term

  • Percentage of Enrollments by Student Dimension

    • A horizontal stacked bar chart showing the percentage breakdown of enrollments by the selected Student Dimension, organized by term and colored by student type. The title of this chart changes dynamically based on the selected Student Dimension.

Unique Controls

  • Student Dimension: Select the student dimension to group the Percentage of Enrollments chart by. Options are Major, Student Type, and Territory.

  • Comparison Terms: Filter the charts by specific comparison terms.

Student Performance

The Student Performance section is located at the bottom of the Students tab. It provides course-level statistics from the student perspective, helping teams identify which courses and student populations may be at risk based on absence frequency and grade performance.

Features

  • Course Statistics by Course: A table displaying statistics for each course including Courses Per Student, Terms Per Student, Enrollments Per Student, Enrollment per Course Section, Average Absences, Average Grade (Current), and Average Grade (Final).

Courses Tab

The Courses tab displays enrollment metrics from the course perspective, including enrollment breakdowns by subject, top and bottom performing courses and sections, course-level statistics, and enrollment trends over time.

The Courses tab uses the same enrollment-focused controls as the Students tab. See the Students Tab Controls list above.

Visualization Sections:

Courses

The Courses section is located at the top of the tab. It provides key course enrollment metrics, a subject-level enrollment breakdown, and insight cards highlighting top and bottom performing courses and sections.

Features

  • Count of students enrolled

  • Total course enrollments

  • Total courses with enrollments

  • Student enrollment per course section

  • Enrollment by Subject:

    • Pie chart showing the distribution of enrollments across subjects.

  • Top 3 Courses for Enrollment

    • Card that displays enrollment counts

  • Top 3 Sections for Enrollment

    • Card that displays enrollment counts

  • Bottom 3 Sections for Enrollment

    • Card that displays enrollment counts

Course Performance

The Course Performance section is located at the bottom of the Courses tab. It provides course-level statistics and an enrollment trend over time. Use this section to pinpoint courses or sections with high absence rates or declining grades that may warrant closer attention.

Features

  • Course Statistics

    • A table by Course Dimension, displays statistics for the selected dimension including Enrollment, Max Enrollment, Capacity, Absences, Average Absences, Average Grade (Current), and Average Grade (Final). The title of this table changes dynamically based on the selected Course Dimension.

  • Enrollment Over Time

    • A line chart showing two metrics—Students Enrolled and Course Enrollments—plotted over Enrollment Date.

Unique Controls

  • Course Dimension: Select the dimension to group the Course Statistics table by. Options are Course Section, Course Title, and Instructor.

Alerts Tab

The Alerts tab provides a real-time view of Case Management Alerts activity. Use this tab to monitor open Alerts, track time to resolution, see how Alerts are distributed across types, priorities, teams, and statuses, and understand outcomes such as escalations to Cases, resolutions, and dismissals.

Alerts

The Alerts section spans the full tab and combines KPI cards with charts that break down volume, status, ownership, and outcomes for all Alerts within the selected filters.

Features

  • Total Open Alerts: Count of Alerts that are not yet resolved, dismissed, or escalated.

  • Average Days to Resolution: Average number of days between Alert creation and Alert resolution.

  • Alerts Escalated to Cases: Count of Alerts that have been escalated into a Case.

  • Alerts Resolved: Count of Alerts marked Resolved.

  • Alerts Dismissed: Count of Alerts marked Dismissed.

  • Alerts Unassigned: Count of Alerts with no assigned team or staff member.

  • Alerts by Type: A bar chart showing the volume of Alerts grouped by Alert Type (e.g., Academic, Advising, Attendance, Wellbeing, Engagement, Financial Aid, Personal Support).

  • Alerts by Priority: A donut chart showing the breakdown of Alerts by priority (Critical, High, Medium, Low).

  • Alerts by Team: A pie chart showing the distribution of Alerts across assigned teams.

  • Alerts by Status: A bar chart showing the volume of Alerts in each status (e.g., Triage, Escalated to Case, In Progress, Resolved, Dismissed).

  • In Progress Alerts by Type: A horizontal bar chart showing the volume of in-progress Alerts grouped by Alert Type—useful for spotting where active work is concentrated.

  • Alerts Resolution Breakdown: A donut chart showing the breakdown of resolved Alerts by outcome (Escalated to Case, Resolved, Dismissed).

  • Alerts Created Over Time: A line chart showing the volume of new Alerts created over the selected date range.

Cases Tab

The Cases tab provides a real-time view of Case Management Cases activity. Use this tab to monitor open and resolved Cases, identify critical or overdue work, track time to resolution, and analyze how Cases are distributed across teams, priorities, types, and statuses.

Case Management

The Case Management section spans the full tab and combines KPI cards with charts that break down volume, ownership, priority, and trend for all Cases within the selected filters.

Features

  • Open Cases: Count of Cases that are not yet resolved.

  • Resolved Cases: Count of Cases marked Resolved.

  • Cases identified as Critical or Urgent: Count of Cases with a priority of Critical or Urgent.

  • Cases Escalated from Alerts: Count of Cases that originated from an Alert escalation.

  • Average Days to Resolution: Average number of days between Case creation and Case resolution.

  • Overdue Cases: Count of Cases past their due date. Displays in red when greater than zero.

  • Cases by Type and Status: A pivot table showing the count of Cases by Case Type (e.g., Wellbeing, Retention, Referral, Financial, Engagement, Conduct) across statuses (e.g., Appointment, In Progress, Initial Outreach, No Response From Student, Not Started, On Hold, Resolved).

  • Cases by Team: A pie chart showing the distribution of Cases across assigned teams.

  • Cases by Priority: A donut chart showing the breakdown of Cases by priority (Urgent, Critical, High, Medium, Low).

  • Cases by Type: A horizontal bar chart showing the volume of Cases grouped by Case Type.

  • Cases Created Over Time: A line chart showing the volume of new Cases created over the selected date range.

Escalation Funnel Tab

The Escalation Funnel tab provides insight into how Alerts progress into Cases. Use this tab to track the Alert-to-Case conversion rate, monitor average time from Alert creation to escalation, see the volume of Cases that originated from Alerts, and watch escalation trends over time.

Escalation Funnel

The Escalation Funnel section combines KPI cards with a funnel chart and a trend chart, showing both the current state of escalation and how the escalation rate has moved over time.

  • Average Days to Escalation: Average number of days between Alert creation and the point at which the Alert escalated into a Case.

  • Alert Escalation Rate: Percentage of Alerts that escalated into a Case during the selected period.

  • Cases With Alerts: Count of Cases that originated from one or more Alerts.

  • Alert > Case Funnel: A horizontal bar chart showing the funnel from Alert Count to Alert in Progress to Escalated to Case to Case Resolved.

  • Escalation Rate Over Time: A line chart showing the Alert-to-Case escalation rate trended across the selected date range.

Troubleshooting & FAQ

  • Why is there no data?

    There are a variety of reasons an Insights report is blank. Try the following quick fixes:

    • Reset the report. Visualizations may be filtering the report. Check the date controls. If the date is too far in the past, it may pre-date your activity in Element451.

    • Check what fields are being used.

    • If data is still missing, there may be issues with your data in Element. Check out this guide for data cleanup.
