Details on two updates to Workflows- sending communication at a preferred time and a new joined or left segment trigger

This article covers the release of:

  • New Preferred Time to Send in Send Communication workflow action

  • New workflow trigger: Joined or Left Segment


New Preferred Time to Send in Send Communication Workflow Action

You can now schedule campaign emails to be sent at preferred times. The following options have been added to the Send Communication workflow action:

  • Immediately - Sends when the workflow step has been reached (this is how the timing has worked prior to this update)

  • User preferred open time- Schedules for that student's preferred email open time (when the student is most likely to open). If you are unfamiliar with the preferred email open-time feature, you can find this information in Calculated Traits and Insights.

  • Morning- Schedules for 9:00 AM

  • Noon- Schedules for 12:00 PM

  • Afternoon- Schedules for 3:00 PM

  • Evening- Schedules for 6:00 PM

  • Night- Schedules for 9:00 PM

  • Late Night- Schedules for 12:00 AM

❗Important Notes:

  • If you are using any preferred time to send option other than immediate, you could introduce up to a 24-hour delay in the recipient receiving the email. An example of this is if the student's preferred open time is morning and they reach this step in your workflow at noon, they will receive this email the following morning. Keep this in mind when scheduling email communication where timing is critical.

  • If there has not been a preferred open time determined yet, the email will be sent immediately, and as we learn more about the student's email opening behavior, a preferred open time will be established for future sends.

  • Times are based on the student's time zone. However, if that time zone cannot be determined, it will default to your institution's time zone.


New Workflow Trigger: Joined or Left Segment

We have added a trigger, Joined or Left Segment, to Workflows. This allows you to enroll people regardless of whether they joined or left the segment using a single Trigger. This saves time in needing to create two triggers.
