Getting Started with Bolt Staff Agents

Overview

Staff Agents are more than just tools; they are your personal agents within Element451. At their core, Staff Agents harness the power of several advanced large language models (LLMs), including ChatGPT, to elevate efficiency and effectiveness, freeing you to concentrate on priorities that matter.

With its generative AI capabilities and specialized skills within specific modules, Staff Agents can interpret and execute complex queries, transforming how you interact with Element451.

Staff Agent capabilities are available throughout Element451 via a conversational interface and specialized module skills.

Accessing Staff Agents

You can find Staff Agents in the Bolt Staff Agent Sidebar, accessed via the Start Page or your top navigation bar. You can also find other Staff Agent-powered tools throughout different modules of Element451.

1) Start Page

  • The Start Page is the default landing page when signing into your Element451 instance if you have not set a Preferred Start Page.

  • If you have a Preferred Start Page configured or want to jump quickly to our Start Page, click the Element451 logo in the top left corner of the orange navigation bar.

On the Start Page, the following Staff Agent features are available:

  • Staff Agent Search: Use everyday language to prompt your Staff Agent to find information or help you complete a task.

  • Shortcuts: Click on a shortcut for quick access to helpful information.

2) Bolt Staff Agent Sidebar

The Bolt Agent button is located on the far right of the orange navigation bar.

  • Clicking the icon opens the Bolt Staff Agent Sidebar, allowing you to continue working in Element451 while interacting with a Staff Agent.


Staff Agent Types + Specializations

There are three types of Staff Agents, each offering specialized assistance and possessing unique skills and knowledge tailored to their specific expertise: User SupportCampaign Creator, Appointments (Coming Soon), and Copywriter.

Most agents can be accessed from the Bolt Staff Agent Sidebar, making it easy to switch between the ones you wish to interact with. Staff Agents also automatically hand off to one another when appropriate. Explore each Staff Agent below:

Agents in the Side Panel

These agents are available from the Bolt AI Side Panel, so you can access them from anywhere in the platform. They’re action-oriented and ready to help, no matter where you are in the platform.

User Support Agent

Your go-to for help using Element451. Ask questions in plain language—about your students, institution, overdue tasks, and more—and get answers sourced from your Element451 data, internal knowledge base, or help center.

Context-Aware + Action-Oriented

This agent understands where you are in the platform and tailors its responses accordingly.

  • Query Answering: Ask about your institution, students, or overdue tasks using everyday language. For example: “What’s Alma’s application status?” or “What tasks are due this week?”

  • Field Retrieval: Pull data directly from contact records, including custom fields. You can ask, “What’s Taylor’s t-shirt size?” or “Show me Jordan’s assigned counselor."

  • Task Completion: The agent can analyze task details, suggest next steps, draft SMS/email replies, and even mark tasks complete—all within the chat. Explore more information here.

Element451 Help Center Integration

Ask about Element451’s features and get real-time answers sourced from our product documentation—no need to leave your current view.

Internal Knowledge Base Access

The agent also connects to your private knowledge base of internal documentation, making it easy to reference team-specific resources, such as policies or procedures.

  • Tip: Want to prioritize your internal resources? Just include that in your prompt. For example: “Use the internal knowledge base: how do I submit a travel request?”

Campaign Creator Agent¹

This agent is your co-creator for drip campaigns. It helps you build complete campaign flows—from strategy to copy (and workflow)—so you can launch faster with confidence.

  • Complete Campaign Creation: Generates multi-message drip campaigns tailored to your purpose, including logic and flow.

  • Subject Lines + Preview Text: Suggests engaging subject lines and preview text to increase open rates.

  • Refine with Bolt Writing Tools: Once your campaign is created, use Bolt Writing Tools to enhance the content:

    • Adjust tone and length

    • Improve grammar and clarity

    • Translate or rewrite content as needed

Copywriter Agent

  • The Copywriter Agent is a versatile writer who follows your institutional brand style guide. You can ask it to draft communications, proofread content, and more.

Appointments Agent (Coming Soon)

  • The Appointments Agent helps you manage your schedule directly from the Bolt Staff Agent side panel.

  • You can ask the Assistant conversational questions like “What is my next appointment?” or “What appointments do I have today?” to see a summary of your upcoming meetings.

  • You can also use the shortcuts available under the Shortcuts tab.

  • A “Join Meeting” link for virtual appointments is provided from the Next Appointment shortcut, making it easy to hop into your next meeting.

Agents + Bolt AI Tools In Modules

These agents and AI-powered tools live directly within specific Element451 modules. While they aren’t accessible from the side panel, they’re integrated within your Element451 experience, offering writing support, page creation, application review, and more.

Bolt Page Creator Agent¹

Accessible from the Pages Module

  • Develops complete, branded, and ready-to-publish Pages

  • Generates page headlines using a description or keywords

  • Enhances page content with the tone, brevity, expansion, translation, and grammar/spelling checks

Bolt Writing Tools

Bolt AI is built right into the Conversations, Campaigns, and Pages to assist you in writing. To access the Bolt Writing Tools, look for the Bolt icon. Note: In some cases, you may need to highlight the text first for the toolbar to appear.

  • Generates conversation replies automatically or with a prompt

  • Enhances your conversation message content with tone, brevity, expansion, translation, and grammar/spelling checks

  • Summarizes a conversation to add as a note

App Reader Agent

The Bolt App Reader Agent provides a first-pass review of submitted applications, scoring them based on your admissions criteria to speed up evaluation and ensure consistency.

Fraud Detector Agent

The Bolt Fraud Detector Agent flags potentially fraudulent applications using AI to evaluate signals like submission timing, email patterns, and IP behavior.

Bolt Staff Agent Sidebar

The Bolt Staff Agent Sidebar is crafted to streamline your workflow with intuitive communication. At your fingertips, you'll find three key tabs in the sidebar: New, Shortcuts, and History.

New Tab

Jumpstart conversations with Staff Agents by sending new prompts or revisiting recent chats. Quick links to shortcuts and past chats enhance your efficiency.

  • Send a Message: Send a new prompt (e.g., "Help me draft an email to John Smith to remind him about finishing his application")

  • Recent Chat: View a brief recent prompt/chat history

  • See All Past Chats: Opens the History tab

  • Try Out Shortcuts: Links to a few general shortcuts

  • See All Shortcuts: Opens the Shortcuts Tab

Shortcuts Tab

Use a shortcut to get information or perform an action quickly without typing a prompt.

You can use the search bar to find a shortcut using keywords or review the shortcut listing, which is divided into three categories:

  • General: Popular and generic shortcuts

  • User: Shortcuts pertaining to you or another internal Element451 user

  • Contact: Shortcuts pertaining to students or other external Element451 users

Contact shortcuts are context-aware, meaning when viewing a specific contact's profile record and having the Bolt Staff Agent Sidebar open, the user name will pre-populate when you select a shortcut.

A list of the shortcuts and the associated actions is located in the next section.

History Tab

View your prompt/chat history to continue a previous conversation with Staff Agents.

  • To open a previous chat, click on the conversation preview bubble.

  • To delete a previous chat, hover your cursor over the conversation preview bubble and click the trashcan icon.

Approvals (Coming Soon)

With Bolt Agent Jobs, you'll have the ability to approve jobs right from your Bolt Staff Agent Side Panel. We'll share more soon!

Shortcuts

Staff Agents offers a range of shortcuts to streamline your workflow. Popular shortcuts are accessible from the Start Page, and a complete list of Shortcuts can be accessed using the Bolt Staff Agent Sidebar by clicking the Shortcuts tab.

General

  • Catch Me Up

    • Get a quick rundown of important action items pertaining to you:

      • Conversations created, assigned to you, and open within the last 24 hours

      • Decisions assigned to you within the last 24 hours and not in the Release Stage

      • Tasks assigned to you and due today or overdue

      • Appointments scheduled for today (Coming Soon)

  • Draft a Message

    • Compose an email or SMS draft and send that message to the contact

  • Create a Task

    • Creates a task for you (or someone else)

  • Count Event Registrations

    • Total registration count

    • Breakdown of the count by status (registered, attended, etc.)

  • Knowledge Base

User

  • User Tasks

    • Retrieves all todo tasks assigned to you (or someone else)

  • User Conversations

    • Retrieves all conversations assigned to you (or someone else)

  • User Decisions

    • Retrieves all decisions assigned to you (or someone else) that are not in the Release stage

Team

  • Team Tasks

    • Retrieves all the tasks assigned to a particular team

  • Team Conversations

    • Retrieves all the conversations assigned to a particular team

  • Team Decisions

    • Retrieves all the decisions assigned to a particular team

Contact

Contact Shortcuts are designed to transform the way you interact with student records in Element451. It offers an intuitive and efficient method to access student information with just a click.

  • Contact Summary

    • Retrieves and summarizes demographics, traits, and contact information for a specific contact

  • Create Note

    • Add a note to a particular contact record. The note type is automatically inferred based on the conversation.

  • Contact Activities

    • Retrieves the latest contact-made activities (page views, link clicks in emails, text messages, or on pages, application activities, event registration, paid, deposited, etc.) for a specific contact

  • Contact Engagement Score

    • Retrieves the engagement score for a specific contact

  • Contact Tasks

    • Retrieves all tasks related to a particular contact

  • Contact Notes

    • Retrieves all notes related to a particular contact

  • Contact Events

    • Retrieves the total event registrations for a particular contact

Context-Aware + Collaboration

Staff Agents are context-aware and can automatically detect where you are in Element451 to help you execute tasks more efficiently and accurately. Staff Agents will also hand off to their counterparts if needed. For example, if you are speaking with the User Support Agent and wish to create a new Campaign, the User Support Agent will automatically hand your prompt over to the Campaign Creator Agent.

Contacts

  • Using Shortcuts: When you select a shortcut while viewing a student's record, the Staff Agent automatically fills in the student's name in the prompt. You can remove the contact association by clicking the name and X icon.

    This intelligent design eliminates manual searching and selection, assuming the active record is your focal point. This saves time and reduces the likelihood of errors, ensuring that your communications and actions are always directed at the correct contact.

  • Not Using Shortcuts: When viewing a student record and not using a shortcut, Staff Agents are still context-aware. For example, you could use the prompt, "Give me a summary of this student," and the Agent will assume you are referring to the contact record you have opened.

Tasks

When viewing a task, you can ask the Staff Agent to help you complete it. The Agent will analyze the task and suggest actionable next steps. The Agent is capable of drafting email and SMS communications based on the context of the task. Then, with your permission, the Agent will send the communication and change the task status to done.
