New and Enhanced Features

Weโ€™ve enhanced the Assignment action within Conversation Rules to support a new dynamic assignment option: the โ€œContact Assigneeโ€ token. When configuring a rule that assigns a conversation, you can now select Contact Assignee as the value for the Assigned To field. This allows the rule to automatically route the conversation to the same staff member who is assigned to the contact.

A new enhancement to Event Sites allows partner schools to create and manage multiple event sites within Events. Each site can be independently branded and configured, enabling institutions to support different audiences, programs, or event types with tailored experiences. For example, undergraduate admissions, graduate admissions, and student activities can each have their own branded URL with events curated specifically for their audiences.

The Documents Bin interface has been refreshed to better align with the design and structure used across other Element modules. These updates create a more consistent and modern experience when managing documents, making navigation and content management more intuitive. In addition, a new self-service tag management capability has been introduced, giving users direct control over creating, organizing, and managing document tags. Previously, tags were created automatically when applied to documents and could be reused or used for filtering, but they could not be edited or managed afterward. With this update, users can now manage tags directly from a dedicated Tags section within the Documents Bin.

Campaign communications can now dynamically reference a student's course, section, and enrollment data using tokens. This means mass emails and messages can include personalized academic details, like a student's course name, instructor, current grade, or enrollment status, without the need for manual segmentation.

We've updated Task permissions to provide more granular control over how access is assigned across Internal and Contact (Student) Tasks. This update introduces clearer separation between view, edit, and delete access, adds new permission options for usersโ€™ own Tasks and their teamโ€™s Tasks, and changes how delete access is granted for Internal Tasks.

We're excited to introduce the all-new Student Success Insights Dashboard, a dedicated space for tracking enrollment trends, monitoring course-level performance, and identifying students who may need additional support. This dashboard brings together key academic and enrollment metrics to give academic affairs, advising, and student success teams a clear picture of how students are progressing across terms and courses.

Element451's PayPal integration now supports webhook-based payment confirmations, replacing the previous client-side confirmation flow. This update improves the reliability, security, and consistency of PayPal payment processing across applications, events, forms, and deposits.

Appointments now supports team-based scheduling, allowing multiple staff members to share a single availability. Admins can select an existing Team, configure it for appointments with a URL slug, description, display name, and then create shared availabilities for that team. When a student books a time slot, the system automatically assigns the appointment to one eligible team member using either round-robin or balanced assignment logic. Teams appear alongside individual staff on the booking site, each with their own dedicated booking URL.

    • Added a taxonomy code/GUID column and search capability to decision status configuration, making it easier to view and filter statuses by their taxonomy codes.

    • Added an autocomplete dropdown picker for configuring Required If validation rules on form fields, improving the experience when setting up dependent field conditions.

    • Added error handling and rule attribution to Intelligent Automation decisions, making it easier to see which rule was responsible for a decision and what went wrong when an evaluation fails.

    • Added the ability for administrators to delete submitted letters of recommendation on un-submitted applications, making it easier to correct or replace documents before a reviewer sees them.

  • Fixed

    • Resolved an issue where newly created decisions experienced delays before appearing in search results.

    • Resolved an issue where students who created an account via the "Create an Account" flow were redirected back to the account creation page instead of being taken directly to their application after logging in.

    • Resolved an issue where the signature date on Info Request confirmation documents was off by one day.

    • Resolved an issue where application fraud evaluations would occasionally fail to complete, requiring users to manually re-run the evaluation to get results.

    • Resolved an issue where filtering information requests by a specific application decision was not working correctly when a student had multiple submissions of the same application type, making it difficult to isolate results for a particular term.

    • Resolved an issue where applications marked as fraud were not appearing when using the fraud filter in the Decisions view, even though they were correctly filterable in Segments.

    • Resolved an issue where file uploads on Request Information forms with multi-upload fields failed immediately with an error, preventing users from attaching documents such as PNG or DOCX files.

    • Resolved an issue where students could submit an application without completing a field configured with "Required If" conditional validation, allowing required fields to be bypassed during submission.

    • Resolved an issue where contacts who had unsubscribed continued to receive marketing campaigns due to a case-sensitive email check that failed to match their unsubscribed address.

    • Resolved an issue where team appointment pages displayed inaccurate availability times that did not match individual team members' actual schedules, causing booking errors when users attempted to reserve a displayed time slot.

Bolt Agents for Students

    • Updated the voice transcription model used for agent phone and messenger conversations, improving the accuracy and reliability of conversation transcripts.

  • Fixed

    • Resolved an issue where voice mode was enabled in a Bolt Agent even when no voice option had been selected, causing unexpected behavior during student interactions.

    • Resolved an issue where Bolt Agents returned an error message instead of the correct value when attempting to retrieve data from a student's custom field.

    • Resolved an issue where the voice agent occasionally produced inaccurate live transcriptions, displaying incorrect text that did not match what was actually spoken during a conversation.

Bolt Agents for Staff

    • Resolved an issue where the Staff Agent did not generate the correct number of email and SMS assets when creating drip campaigns.

Bolt Agent Jobs

    • Updated Bolt Agent jobs to allow the Close Conversation on Send toggle to be edited after a job has been created, giving staff more flexibility to adjust this setting on existing jobs.

    • Added the ability to configure transfer numbers at the job level for Bolt Agent Jobs, giving more granular control over how calls are routed to a human during agent interactions.

    • Resolved an issue where agent job approval requests displayed an application's internal system ID instead of its readable name, making it difficult to identify which application required review.

    • Resolved an issue where Bolt Agent Jobs were providing incorrect or placeholder values when referencing custom field data during a student interaction, rather than reading the actual field value.

    • Resolved an issue where internal users without Bolt Agent Jobs permissions were still able to create Bolt Agent Jobs through the Bolt AI assistant, bypassing the intended access controls.

    • Resolved an issue where a Bolt Agent job would unexpectedly end a conversation with a student before completing all intended interactions.

    • Added a "Contact Assignee" option to conversation rule assignments, enabling dynamic routing of conversations to the internal user who owns the contact record rather than requiring a static assignment to a specific user or team.

    • Added a new setting that prevents call recording from being disabled by individual users, ensuring compliance for institutions that require all calls to be recorded.

    • Resolved an issue where Bolt Agent chat responses displayed markdown heading syntax as plain text instead of rendering it as formatted content.

    • Resolved an issue where transferring a conversation to the WhatsApp channel would cause the interface to freeze and prevent staff from composing or sending messages.

    • Resolved an issue where the AI writing tool included markdown formatting characters in SMS message responses, resulting in visible asterisks and overly long replies for text-based conversations.

    • Search results for events are now ranked by relevance, with matches in event titles scored higher than matches in descriptions.

    • Added payment status filtering to the event attendee list and segment filters, allowing staff to quickly view and filter registrants by Paid or Pending Payment status without manually reviewing individual student profiles.

    • Improved error messaging on event registration forms with access rules so that students who do not meet access requirements now see a clear, descriptive error message.

    • Resolved an issue where event registration forms returned validation errors on non-required fields, preventing successful form submission.

    • Resolved an issue where event URLs with tracking parameters continued to attribute activity to deactivated contacts and allowed continued access to event pages.

    • Resolved an issue where completing SSO login during event registration redirected users to the Events home page instead of returning them to the specific event they were registering for.

    • Resolved an issue where the payment fields and buttons were not appearing in the event registration payment popup, preventing users from completing event fee payments.

    • Resolved an issue where clearing date filters on the event site did not refresh the displayed results, preventing users from viewing all available events after removing a date selection.

Forms

    • Added folder organization to Forms, allowing users to group and manage large numbers of forms into logical categories for easier navigation and performance tracking.

    • Added minimum and maximum word count validation for text area fields, allowing you to enforce response length requirements directly on your forms.

    • Added a new setting to save default values for hidden fields, so those values persist on form submission even when the field is not visible to the respondent.

    • Resolved an issue where form intro text appeared misaligned when viewing forms via magic link, despite displaying correctly in the form builder preview.

    • Resolved an issue where the "Send Submission PDF to Applicant" option was incorrectly appearing on standard forms where it is not applicable.

    • Resolved an issue where hidden fields with the "Show in Preview Document" option enabled were not appearing in the preview document.

    • Resolved an issue where hidden fields on Info Request forms were not appearing in the generated PDF even when the "Show in Preview Document" option was enabled.

    • Updated the segment filters display for segments created by imports. Imported segments are now read-only. You canโ€™t update the original import segment, but you can add filters and Save as New Segment to preserve your changes.

    • Added the ability to choose which territory assignment to keep when merging duplicate contact records.

    • Added a new "Alternate ID" identity type that lets you define an additional identifier for contact matching, available to any institution that needs a secondary ID option.

    • Resolved an issue where name range filters using bracket notation (e.g., [A-C]) were not correctly matching all records in the specified range, causing some letters in the middle of the range to be excluded.

    • Resolved an issue where a segment converted from calculated to non-calculated would continue to appear in the Calculated Segments section on student profiles.

    • Resolved an issue where the URL displayed in a contact's Sources card was missing the full query string from the original page view, showing an incomplete source URL.

    • Resolved an issue where a shortened version of a URL was displayed on a contact's source card instead of the full URL, making it difficult to accurately verify which pages a student had visited.

    • Resolved an issue where column sorting in School Settings was not working correctly.

    • Resolved an issue where import permissions were not being enforced correctly, preventing users with the appropriate access from completing imports.

    • Resolved an issue where deleting a visibility group caused internal users previously assigned to that group to lose access to records they should be able to view.

    • Resolved an issue where internal users were unable to remove their profile picture, causing the existing image to persist on the profile page even after selecting "Remove picture."

    • Resolved an issue where users with Administer Import or Administer Export permissions were not able to view all available folders when accessing the import and export sections.

    • Resolved an issue where internal users with the "View All Notes" permission were unable to add notes to student records.

    • Resolved an issue where the staff login verification screen required an 8-character code while the system sent a 6-digit verification code by email, preventing affected users from completing the login process.

    • Resolved an issue where API user accounts required overly broad security and SSO management permissions just to appear and function correctly in the user interface, simplifying how API user permissions need to be configured.
